Employee Portal – a digital workplace for universities

Communication, employee self-service, and electronic document workflow in one system

The Employee Portal is a modern system that supports day-to-day communication with and services for university employees. It brings together an intranet, HR and payroll self-service, and electronic document workflow in one user-friendly interface.

Sages implements, integrates, and adapts the Employee Portal to the processes and IT environment of each university.

Why do universities choose the Employee Portal?

At a large university, hundreds of matters arise every day that require communication between employees and administration: questions about salaries, leave, HR documents, procedures, benefits, invoices, business trips, and applications.

When information is spread across email, websites, documents, and different systems, employees spend time searching for answers, while administration repeats the same tasks many times.

The Employee Portal brings these processes into one digital environment.

With self-service, employees can find the information they need and handle many matters on their own, without involving administrative departments. The university also gains more efficient communication, organized information flows, and the ability to digitize more processes.

Key benefits

Benefits for universities

Sages implements, integrates, and adapts the Employee Portal to the processes and IT environment of each university.

  1. 01

    One portal for every employee

News, HR and payroll information, documents, procedures, staff profiles, and administrative matters are all available in one place.

  2. 02

    Less routine administrative work

Employees can check employment, payroll, leave, and absence information themselves, reducing repetitive queries to administration.

  3. 03

Digital processes instead of paper documents

Electronic document workflows move entire administrative processes into the system, from submitting a form and approving it to transferring data to a domain system.

  4. 04

    More effective internal communication

News, announcements, and a knowledge base help share information quickly and give employees access to current procedures and instructions.

  5. 05

    A solution developed in academia

Designed and developed by the University of Lodz, the portal responds to the real needs of a large academic organization where thousands of employees use information, documents, and administrative processes every day.

Key Employee Portal features

Intranet and communication

The portal is a central source of information for university employees. Important content is no longer scattered across email, network drives, and multiple websites.

  • Publish news and announcements and share information with selected employee groups.

  • Create topic-based microportals, a knowledge base, instructions, and procedures.

  • Search for content quickly in one central place.

Employee knowledge base

An organized internal knowledge base lets the university arrange content in topic-based microportals, helping employees find information about a specific area more quickly.

  • Share instructions, policies, HR information, and purchasing procedures.

  • Publish project materials and information for academic staff.

  • Collect answers to frequently asked questions.

Employee and organizational unit profiles

Each employee can have an automatically created profile, and organizational units can have profiles too.

  • Employees can add responsibilities, contact details, and professional information to university data such as workplace and position.

  • Profiles help staff find who handles a matter, which unit to contact, and how to reach the right person.

  • Profile data can also be used by other university systems, such as the university website.

Smart search

News, the knowledge base, and profiles of people and units can all be searched from one place.

  • One search can find people, units, articles, procedures, news, and announcements.

  • Employees can find instructions and identify the person or unit responsible for a matter.

HR and payroll self-service

The portal presents selected data from the HR and payroll system through a convenient web interface. Available information depends on configuration.

  • Access employment information, employment history, and pay details.

  • View monthly and annual information, leave, and absences.

  • Access tax documents.

  • Employees can check information themselves at a convenient time without contacting HR or payroll.

Electronic leave requests

Leave management is one example of a digital process available in the Employee Portal.

  • Employees select the type and dates of leave and submit a request electronically.

  • The manager is notified and can approve the document in the system.

  • Integration with the HR and payroll system can automatically transfer approved data to that system.

  • The process can be completed digitally without paper forms or manual handoffs.

Electronic document workflow

The mechanism handles structured electronic documents and lets the university define their route. The workflow directs each document, so employees do not need to choose the next recipient.

  • Documents can automatically go to a person, team, manager, next approval stage, or another IT system.

  • Digitize leave requests and plans, business trips, invoices, and purchasing requests.

  • Handle social benefits, civil law contracts, and medical examination referrals electronically.

  • The mechanism can also support other university administrative processes.

Integration – data without retyping

The portal can integrate with other parts of the university IT environment. Once a workflow is complete, structured documents can automatically transfer validated data to domain systems.

  • An approved document can send data to HR, payroll, or financial accounting systems.

  • Integrations reduce manual data entry and the risk of errors.

  • Automatic data transfer speeds up service delivery.

  • Data exchange improves consistency across systems.

Employee Portal + Rektorat

The Employee Portal naturally complements the Rektorat HR and payroll system.

  • Rektorat supports the comprehensive administration of HR and payroll processes.

  • The Employee Portal makes selected data available to employees and moves some communication and processes to a self-service model.

  • With the integration, an employee can submit a leave request electronically in the Portal. Once approved, the relevant information is sent to the HR system.

  • This creates a connected ecosystem where data is entered only when needed and then used by subsequent university processes and systems.
